Look, name the lord before the request: Lord Halys Redfort, not the blue banner. State your ask in the first sentence, then give one useful detail: I seek a scout report on the eastern march before spending troops, should he not know what his answer is for?

Right, ask for one thing and name what you offer in return. Promise your own road report, not endless friendship, since friendship does not fill a granary. Keep the courtesy warm and the request plain.

Look, end with a clear next step: ask for a reply on the board or a courier at dawn. Sign your name and banner, so the reader knows it is Ser Roland Crakehall of [VIPER]. Clear writing keeps gates open, does it not?
